Drew Faust has agreed to meet with the class Friday evening between the symposia and dinner

(kate Kirby) suggested starting dinner later than 6PM to give people more time to get ready. Recommendation is 7-10 for Friday and either 7-11 or 6-10 for Saturday

(Pete) 4 symposia at a time.

Put the moderated discussions on Saturday in between the symposia and dinner - and shift dinner back to 7PM

(PR) An earlier mailing had mentioned an author's table. Possibility to have it during registration. Michelle said registration will not be at 124 Mt. Auburn.

Earlier class had a special signing event. Not clear where or when to have the physical books in front of people. We could do a handout - or a nice email piece.

Last year did a book signing Saturday during lunch. Lots of people wanting to participate. Coop sponsored it. Authors participated. A bit frantic, the readings were too much.

Last year's lunch was at Christ Church, and the book signing was there as well.

The Coop will manage the book signing. More elaborate arts presentation require much more work, and we don't have a space for the reunion that would be secure.

'''Meals

Thursday - working with Jewels and East Meets West. EMW has an original menu. Rates have ranged from $23 to $40. It's important to have passed hors d'oeuvres to avoid crowds around the table.

Reasonable range is 25-35/guest.

Liquor comes from Gordon's at wholesale prices, with HSA bartenders.

Both caterers seem fine. Will probably spend $30/35 per person. WIth people and rentals (linens, tables, etc.) around $8,000.
One or the other -- will fax contract to Michelle.

'''Friday night.

Fay -
Last year had 375 people
Prices has gone up since last year ($85 plus cash bar) - drinks were $4/each. Now they are $5.25 and up.

Last year charged $64 / person. This year it seems quite a bit more.

Hors D'Oeuvres + liquor = $60
Carving Stations - $80
Carving + Liquor = $100.

These are the faculty club prices, with no flexibility.

This makes it a particularly expensive location. Michelle is "not sure we can get out of the commitment."

This is NOT a buffet dinner. Sounds more like Thursday's dinner. Not clear whether there will be tables for everyone to sit and eat.

Buffet dinner is more expensive and they can't guarantee seating for 300.

Idea is to have a bit more seating than people so that it's possible to circulate.

Last year's attendance was around 375.

Recommendation - simplify the appetizers, do 2 bars, not 3, make sure they have plenty of seating! possibly use the reading room for dessert. Try to keep the total cost around $70. Appetizers NOT passed - cheese, grapes, crackers, olives, maybe some hummus.

'''Saturday Night

No report from Garner. Rumor is that it's "All set"

Michelle will follow up with Garner.

'''Registration Fees

Last year ('66) had a $50 registration fee. It could be larger, and use the difference to reduce the event charges.

Would it be reasonable to charge $100 for registration (per classmate) - less for individual events.

Use the higher registration fee to lower the cost for meals.

'''Memorial Service

Leslie

Lauren Ackland, an Episcopal priest has done it before and will work on the order of the service.

Leslie Kress is the contact at Memorial Church.

Class is responsible for the readings, etc. typically several clergy who participate.

Reading of names, but no specific comments about individuals. List everyone in the class who has died, and mark (asterisk) those who have died since the last reuion.

Get the Memorial Service program from the 35th.

'''Communication

Need to have an email list,
a listserve
some survey monkey questionnaires.

Packet to be sent out in early August. Need solid costs for then.

Fay Hannon will draft a "come along" email.
'''Logo

Pete talked with Gil Fishman, He needs a copy of the old logo -- from his Xeroxed vest.

Michelle needs it soon to get the stuff...

'''Survey

Leslie to take a look at SurveyMonkey.com

== Meals

Last year ('66) had a $50 registration fee. It could be larger, and use the difference to reduce the event charges.
One or the other -- will fax contract to Michelle.

===DESCRIPTION OF THE POSITION OF HARVARD CLASS SECRETARY===

Every class needs to have secretarial functions performed. These duties are not arduous and can be a lot of fun for the right individual. During the senior year and after graduation, the Secretary should attend all Class Committee meetings and take the minutes for the permanent Class record. These minutes, if turned in to the Harvard Alumni Office, will be distributed by the HAA to the entire Class Committee prior to the next meeting.

After graduation, there must be someone who will prepare newsletters at regular intervals, keep track of classmates, record the class’ necrology, and be in charge of communications. While we have no hard and fast recommendations to make on mechanisms, it should be obvious that this is a most important role and the person in charge should be diligent and attentive to detail. Newsletters also gain in importance if their editors have sufficient literary ability and creativity to make the product interesting rather than just a collection of official notes and personal items. The class secretary is also responsible for sending class notes to the Harvard Magazine and should keep track of those that have been published and those that have not. The Harvard Magazine is mailed to all domestic graduates six times a year. The Class Secretary also works with the Class Report Office on the production of the Class Report that is published quinquennially at the time of the reunion.

Historically, after graduation, the Class Secretary becomes the key-operating officer of the class. It is important for the Secretary to take an interest in keeping the class together and to be familiar with all that is going on at the University as well as keep the class involved in between-reunion-activities.

The Class Secretary will become a member of the Association of Harvard College Class Secretaries and Treasurers which is a dues paying organization. The Association meets every spring in Cambridge to keep itself up to date on the College’s activities and is an excellent vehicle for exchanging ideas.

The Harvard Alumni Association stands ready to assist in any way they can. Samples of class mailings and records can be found in the HAA office. For more information see Class Secretary Suggested Minimum Standards.

===Suggested Minimum Standards for Class Secretaries===

1.	Keeps the Class together and keeps track of classmates, including the class necrology.

2.	Attends all Class Committee meetings and generally promotes and participates in class activities.

3.	Serves as principal class communicator, which includes contacting the class at least once a year in writing via letter or newsletter.

4.	Arranges class events – at least one a year – in non-reunion years, or ensures that someone does so.

5.	Works with the Class Report Office on each quinquennial Class Report or appoints another classmate to do so eighteen months prior to projected publication date.

6.	With appropriate Class Committee assistance, makes sure that Reunion Chair or Co-Chairs are appointed every five years and that it is done at least eighteen months prior to the projected reunion dates.

7.	Announces the names of the Class Report Chair and Reunion Chair(s) at the annual spring meeting of the AHCCS&T the year before the Reunion.

8.	Attends the Annual Meeting of the AHCCS&T every year. If unable to attend, selects a substitute representative – the Class Treasurer, if available, or if not, another class officer or active classmate.

9.	Submits information for class notes to Harvard Magazine (and, for some classes, to the Radcliffe Quarterly), and encourages classmates to do so directly.

10.	Joins the Class Treasurer and the Class Committee in ensuring that the Class remains solvent through the collection of dues, when needed, and other means. This includes raising sufficient funds during reunion years to pay for the Reunion and the Class Report.

11.	Submits an Activity Report annually to the Class Committee with a copy to the HAA.

12.	Encourages the Class Treasurer to submit a summary financial report annually.
With appropriate Class Committee assistance, promotes the Class by recommending classmate candidates for Overseer, HAA Elected Director, Harvard Medals, and HAA awards.

Additionally, the treasury must be able to absorb the cost of regular newsletters and notices, a particular challenge as the costs of both printing and postage continue to skyrocket. Some classes start by asking for Class dues of $15.00 per year and increase them later as the ability to pay increases.

==History and Purpose of the HAA==

If Harvard University’s alumni population of 300,000 represents a kind of nation settled throughout the world, the Harvard Alumni Association (HAA) can be viewed as an “Alumni Senate” representing the views of alumni to Harvard and Harvard’s views, needs, and policies to its constituencies. The aim of the HAA is to keep the University and its alumni linked together in mutually beneficial ways.

The HAA was previously known as the Associated Harvard Alumni. The latter was formed in 1965 as an amalgamation of the Harvard Alumni Association (1840) and the Associated Harvard Clubs (1897). The early Harvard Alumni Association was largely eastern in composition and concerned itself primarily with organizing class reunions. The Associated Harvard Clubs was predominantly midwestern and western and was concerned with keeping Harvard interests active throughout larger American cities. The merger of these two organizations made for a truly national alumni association.

Today, the HAA is the official association of all alumni of Harvard University. It is frequently described as an organization that “requires no due dates, and from which there is no escape.” Its regular members include recipients of degrees granted by the University and Radcliffe College, as well as tenured members of all Faculties of the University. Others whose names appear on the alumni records of the University and Radcliffe College, who have not received degrees, are associated members. Associated members may not vote for Overseers or Elected Directors, but may take part in all other activities of the Association.

The HAA is guided by a board of elected and appointed directors. Directors visit different areas of the University and participate in discussions with students, faculty, and administrators. Informed directors can thus provide knowledgeable leadership in interpreting Harvard alumni back home.

In addition, the HAA sponsors numerous meetings in cities across the country in conjunction with local Harvard Clubs and graduate school alumni associations. The purpose of these meetings is to bring the current story of Harvard to the community.

A reunion is a combination of social and intellectual events. Free time should be included in the schedule for classmates to meet informally. The schedule should also enable women in the class to participate in Radcliffe-specific events held during this time. It is also a good idea to plan a particular time for the Radcliffe class to meet separately, if that is something they wish to do.

The fall reunions begin on a Thursday evening in September, October or November (usually a football weekend) and continue into the weekend, concluding either on Saturday night or on Sunday following a morning brunch.

On Thursday, a low-key evening event is usually scheduled for those classmates who have already arrived or live nearby. The Friday afternoon reunion schedule is flexible, but the can include attending classes, lunch in the dining halls, a Memorial Service, tours, symposia, etc. Most classes leave late Friday afternoon open, since the greatest number of classmates will arrive Friday afternoon and evening.

Because of travel uncertainties, the Friday night social event is usually an open-ended buffet lasting a several hours, rather than a sit-down dinner at a set time. This gives classmates time to meet and talk informally.

Saturday's schedule may include a morning class meeting, memorial service, and/or symposium. Lunch can be an indoor picnic followed by a football game and/or an alternate program for non-sports fans. The Saturday afternoon event is really the only reunion event that is appropriate for children.

Saturday evening is a time when classes can have dinner at either an on-campus or off-campus site, usually followed by entertainment and dancing. Most reunions conclude on Saturday night, but some classes have held successful Sunday brunches.

The reunions offer considerable room for a variety of events within the three and one half days available to the reunion committee. The following sample schedule is only a guide to the committee's creativity.
