67-40 Meeting Notes 7-16

Drew Faust has agreed to meet with the class Friday evening between the symposia and dinner

(kate Kirby) suggested starting dinner later than 6PM to give people more time to get ready. Recommendation is 7-10 for Friday and either 7-11 or 6-10 for Saturday

(Pete) 4 symposia at a time.

Put the moderated discussions on Saturday in between the symposia and dinner - and shift dinner back to 7PM

(PR) An earlier mailing had mentioned an author's table. Possibility to have it during registration. Michelle said registration will not be at 124 Mt. Auburn.

Earlier class had a special signing event. Not clear where or when to have the physical books in front of people. We could do a handout - or a nice email piece.

Last year did a book signing Saturday during lunch. Lots of people wanting to participate. Coop sponsored it. Authors participated. A bit frantic, the readings were too much.

Last year's lunch was at Christ Church, and the book signing was there as well.

The Coop will manage the book signing. More elaborate arts presentation require much more work, and we don't have a space for the reunion that would be secure.

Meals

Thursday - working with Jewels and East Meets West. EMW has an original menu. Rates have ranged from $23 to $40. It's important to have passed hors d'oeuvres to avoid crowds around the table.

Reasonable range is 25-35/guest.

Liquor comes from Gordon's at wholesale prices, with HSA bartenders.

Both caterers seem fine. Will probably spend $30/35 per person. WIth people and rentals (linens, tables, etc.) around $8,000. One or the other -- will fax contract to Michelle.

Friday night.

Fay - Last year had 375 people Prices has gone up since last year ($85 plus cash bar) - drinks were $4/each. Now they are $5.25 and up.

Last year charged $64 / person. This year it seems quite a bit more.

Hors D'Oeuvres + liquor = $60 Carving Stations - $80 Carving + Liquor = $100.

These are the faculty club prices, with no flexibility.

This makes it a particularly expensive location. Michelle is "not sure we can get out of the commitment."

This is NOT a buffet dinner. Sounds more like Thursday's dinner. Not clear whether there will be tables for everyone to sit and eat.

Buffet dinner is more expensive and they can't guarantee seating for 300.

Idea is to have a bit more seating than people so that it's possible to circulate.

Last year's attendance was around 375.

Recommendation - simplify the appetizers, do 2 bars, not 3, make sure they have plenty of seating! possibly use the reading room for dessert. Try to keep the total cost around $70. Appetizers NOT passed - cheese, grapes, crackers, olives, maybe some hummus.

Saturday Night

No report from Garner. Rumor is that it's "All set"

Michelle will follow up with Garner.

Registration Fees

Last year ('66) had a $50 registration fee. It could be larger, and use the difference to reduce the event charges.

Would it be reasonable to charge $100 for registration (per classmate) - less for individual events.

Use the higher registration fee to lower the cost for meals.

Memorial Service

Lauren Ackland, an Episcopal priest has done it before and will work on the order of the service.

Leslie Kress is the contact at Memorial Church.

Class is responsible for the readings, etc. typically several clergy who participate.

Reading of names, but no specific comments about individuals. List everyone in the class who has died, and mark (asterisk) those who have died since the last reuion.

Get the Memorial Service program from the 35th.

Communication

Need to have an email list, a listserve some survey monkey questionnaires.

Packet to be sent out in early August. Need solid costs for then.

Fay Hannon will draft a "come along" email. Logo

Pete talked with Gil Fishman, He needs a copy of the old logo -- from his Xeroxed vest.

Michelle needs it soon to get the stuff...
